HIRING – ACCOUNTING ASSISTANT

Primary Function: The job of the Specialist Accounting I is to maintain the museum’s financial records and troubleshoot computer/server problems and administrative duties as directed by the Deputy Director, Operations.

Accounting Specialist I – Columbus Museum

REQUIREMENTS:

1. Educational Level:

Bachelor’s degree in Accounting preferred

2. Experience:

3-5 years accounting experience, Knowledge of Blackbaud and Quickbooks software preferred; must pass the MCSD Clerical Assessment

4. Knowledge, Skills, & Abilities:

SKILLS are required to perform multiple, highly complex, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skill-based competencies required to satisfactorily perform the functions of the job include: demonstrated organizational skills; good communications skills; excellent project and time management skills.

KNOWLEDGE: Fundamental accounting principles and techniques for Not for Profits.

ABILITY is required to: operate computerized bookkeeping program.  Understanding of museum’s complex financial organization.  Familiarity with requirements of grant applications and reports pertaining to budget figures.

Demonstrates prompt and regular attendance.

2.

Responsible for all cash receipts and disbursements, and for making deposits.  Is responsible for all bank account and trust fund reconciliation’s, associated journal entries and daily cash balances. Also responsible for initiating bank transfers between accounts.

Initiates purchase requests and tracks spending for the MCSD budget.

4.

Responsible for certain balance sheet account reconciliation’s monthly.  Responsible for preparation of 1099’s at year-end.  Provides data to independent accountants for annual audit.

5.

Assists the Deputy Director, Operations, with oversight of all supplemental funds, special accounts and grant accounts for the museum’s ancillary organizations and programs.

Responsible for handling and reporting all employee health insurance, life insurance and workman’s compensation and similar records and claims.  Maintains records and files claims for museum’s fine arts insurance and property insurance.

7.

Responsible for operation of all museum office equipment (postage machine, copy machine, phones, etc.).  Secondary telephone responsibilities as needed.  Responsible for maintaining mailing label database and printing mailing labels for all Museum mailings.  Responsible for other duties as assigned.

8.

Responsible for supporting Office software programs, troubleshooting and installing updates.  Coordination of technical support with local IT contractor.

9.

Responsible for tracking supply inventory.

10.

Maintain and increase knowledge and skills through attendance at meetings, conferences, training seminars and in-service training sessions for the purpose of supporting the needs of the Museum.

11.

Serves as support for Museum Gift shop and volunteers.

12.

Performs other duties as assigned by appropriate administrator.
